Job Description: Benefits Manager

FLSA Status: Exempt

Reports To: HR Director, Total Rewards

 Job Summary: The Benefits Manager is responsible for managing the day-to-day and overall compliance aspects of the health & welfare and retirement programs. The Benefits Manager will continuously assess and make recommendations for future state of the program by reviewing data and utilizing employee/team member feedback and vendor experience. This role is responsible for meeting compliance requirements on all federal, state, and local regulations in the benefits area.

 Supervisory Responsibilities: This role will oversee the Benefits Team

 Essential Duties/Responsibilities:

  • Ensure smooth day-to-day administration of all benefit plans, including medical, dental, vision, HSA/FSA, voluntary benefits, 401(k) and non-qualified plan, student loan, etc.
  • Act as escalation point for employee inquiries/issues that require guidance or cannot be resolved by Benefits Administrator.
  • Use employee enrollment data to create reporting that will assist in analyzing employee plan selection and other enrollment trends.
  • Combine data provided by the benefits broker with internal data to create more comprehensive analysis on plan usage and spending.
  • Contribute to the ongoing benefits strategy and renewal processes with the Benefits Committee and benefit brokers.
  • Work with new or existing vendors to implement new company benefit plans or programs, including plan setup, adjustments to the HRIS setup, testing, file feeds, and issue resolution.
  • Oversee system setup for annual Open Enrollment, as well as any off-cycle enrollment periods due to M&A activity.
  • Ensure that enrollment data in vendor systems and HRIS system are reconciled on a quarterly basis, at minimum.
  • Manage year-end and new-year processes, such as removal and adjustment of deduction goals, updates to GTL and Benefit Earnings.
  • Create and modify plan processes, procedures and regulations to ensure compliance.
  • Ensure compliance with all plan rules and regulations, as well as federal and state filings (5500s, SPD, wrap docs, HIRD, CMS, etc.).
  • Track ACA data on an ongoing basis throughout the year to prepare for annual reporting; assist with modifications or data transfer needed due to M&A activity.
  • Be a part of wellness program execution.
  • Contribute to and execute on benefits communication strategy.
  • Manage annual 401(k) audit process.
  • Oversee administration of all employee leaves of absence per federal and state regulations.

Additional Duties/Responsibilities:

  • Assist with M&A activity, including transfer of HRIS data, administration of benefits transition, etc.
  • Explore and evaluate current HRIS system and other vendor systems for opportunities to enhance current services and/or capabilities.
  • Act as backup for Benefits Administrator's weekly tasks, as needed.

Required Skills & Abilities:

  • Must have advanced knowledge of Microsoft Excel and experience with HRIS systems and reporting capabilities (ADP Workforce Now is a plus)
  • Must have experience working with benefits regulations (ACA, ERISA, IRS & DOL regulations, COBRA, HIPAA, etc.)
  • Must understand corporate benefits/total rewards strategy
  • Must be knowledgeable in the area of leaves of absence (FMLA, state and local leave laws) and coordinating overlapping leave regulations
  • Must be self-motivated and highly attentive to detail
  • Must be able to stay organized and track ongoing issues
  • Must be able to operate at a high level of confidentiality
  • Must possess excellent verbal and written communication skills
  • Must be customer-service oriented and comfortable working with individuals at all levels of the organization
  • Experience with project implementation/project management is recommended

Education and Experience:

  • Bachelor's degree in a related field and 4-5 years of benefits experience preferred; high school/GED and 6-7 years of benefits experience required
  • Experience with multi-location company or multiple benefit classes and self-funded plans is preferred
  • Experience managing/overseeing 1-2 team members is preferred
